Cancellation and Refund Policy

This Cancellation and Refund Policy ("Policy") explains how cancellations and refunds are handled by COGNYX AI TECHNOLOGIES PRIVATE LIMITED ("CognyX AI", "we", "us", "our") for our software and services.
This Policy applies to purchases made directly from CognyX AI, including where payments are processed by third party providers such as Stripe. It should be read together with our Terms of Service.
1. General approach
We provide digital services and software, and work often starts soon after an order is confirmed. Because of this:
- Fees already paid are generally non refundable once a billing period has started or project work has begun, except as described below or where required by law
- You can always cancel future renewals of subscriptions, and we will stop further charges after the current billing period ends
We aim to be fair and reasonable and encourage you to contact us if you have an issue with billing.
2. Subscription products
2.1 Billing cycle and renewal
Subscriptions may be billed monthly, annually or on another agreed schedule. Unless otherwise stated in writing:
- Subscriptions renew automatically at the end of each billing period
- The same payment method will be charged for each renewal, unless you update or cancel it
2.2 How to cancel a subscription
You can cancel your subscription at any time by:
- Using the account or billing settings within the relevant product, where available, or
- Emailing us at [email protected] from your registered email address
Unless otherwise agreed:
- Cancellation will take effect at the end of the current billing period
- You will continue to have access to the subscribed Services until that date
2.3 Refunds for subscriptions
As a general rule:
- Payments for the current billing period (month, year or other term) are non refundable
- We do not offer refunds or credits for partial months or unused features
We may consider refunds or credits in limited situations, such as:
- Duplicate charges caused by our billing system
- A clear technical issue on our side that prevents you from using the core functionality of the Service for a significant portion of the billing period and that we are unable to resolve within a reasonable time
Any approved refund will be processed through the original payment method, via Stripe or another processor, within a reasonable timeframe.
3. Project based and retainer work
3.1 Fixed price and milestone projects
For projects covered by a proposal or statement of work:
- Payment terms and milestones are specified in that document
- Upfront deposits, retainers and milestone payments are usually non refundable, since they correspond to work planned or already performed
If you terminate a project early, you remain responsible for fees for work already completed and for committed costs. We may, at our discretion, apply any unused pre paid amounts as credit toward future services.
3.2 Ongoing retainers
For ongoing retainers or support contracts:
- Notice periods and termination terms are set out in the applicable agreement
- Fees already invoiced or paid for the current period are generally non refundable
We may agree to adjust future invoices where services have not yet started, depending on the specific case.
4. Free trials and promotions
From time to time we may offer free trials or promotional pricing.
- The specific conditions will be described at the time of the offer
- Unless stated otherwise, at the end of a free trial the subscription will convert to a paid plan if you do not cancel before the trial ends
Once converted, this Policy applies to the paid subscription.
5. How to request cancellation or refund assistance
If you wish to cancel or believe a refund may be appropriate, please:

Provide:
- Your full name and company name
- The product or service involved
- Your registered email address
- The transaction date and amount, if available
- A brief explanation of your request
We will review the request and respond within a reasonable time. We may ask for additional information to verify your identity or understand the issue.
6. Chargebacks and disputes
If you are unhappy with a charge, we strongly encourage you to contact us first at [email protected]. We can usually resolve billing issues faster and more easily than going through a bank or card network.
If a chargeback or dispute is raised without contacting us, we may provide Stripe and the card networks with evidence of your agreement to this Policy and our Terms of Service.
7. Changes to this Policy
We may update this Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of our Services after changes become effective means you accept the updated Policy.
